In-person meetings are back in full swing, and the desire for excitement and a high level of engagement is keener than ever. Getting together is something to celebrate, and meetings should reflect that with elements including high-energy performers, striking design elements, and, of course, superior AV to bring it all together.
For a recent client leadership meeting in Atlanta, AVD created a captivating theater in the round. The stage was in the center with two screens – 45-foot curved LED walls — flanking the north and south of the venue, and the audience flanking the stage east and west. The stage itself was also wrapped in LED. This type of setup allowed every attendee to feel enveloped, with the screens creating an immersive backdrop that supported and enhanced the presenters’ words.
Proven Experience Achieves Any Vision
AVD assisted in the stage design and technical aspects, fulfilling the creative vision of the producer and client. The general session featured acrobats, lasers, haze, 20-30 movers, elaborate lighting, and a constant stream of presenters.
“There was a huge ‘wow effect’,” says Steve Levin, AVD’s director of business development. “This was definitely one of the more visually interesting shows we have done.”
AVD was able to surpass expectations in the face of several challenges. In pre-production, the creative ideas were flowing, but we had to be realistic and evaluate which were doable in budget and which could be scaled down without losing the sense of magic.
They trusted us; in previous years AVD had done breakouts and a virtual meeting for this client, so they were familiar with our perspective and experience. We had earned their confidence.
Despite the level of spectacle and the high headcount of the meeting, the encompassing nature of the set created a feeling of intimacy for the attendees. Ultimately, that feeling of inclusion and involvement increased the effectiveness of the message.
AVD Brings the “Wow” Factor to Hybrid Corporate Meetings
The attendance for this show was about 600, but hundreds more viewers were streaming at home. This created a huge opportunity for the client to involve and energize the at-home viewer as well as the in-person attendee.
On-site, the high energy level was maintained with an emcee and a stream of presenters. Each team had just seven minutes on stage to relay their message before turning it over to the next team, creating a continuous revolving door of presenters over the two-and-a-half-day period. We provided seamless support that brought that excitement to the viewers off-site.
Workshop Sessions Created Additional Demands
The purpose of the show was to share and explore how the client could better align with the customer. After the teams presented their ideas in the general session, satellite sessions allowed them to dig deeper into those ideas.
These were not small workshops; they featured 100 people per room. And similar to the general session, they were hybrid.
A week before the show, worried that the local vendor would not be able to handle the complicated demands, the producer asked AVD to take over the tech for the workshops as well. In that short time, we coordinated and put into place multi-camera workshops, streaming in presenters to the meeting, and streaming out the content to another 500-600 viewers off-site. As complicated as the general session was, the workshops were an even bigger challenge. We were able to quickly scale and keep the meeting flowing smoothly, easily including the off-site viewers.
